Adding guest names and email address to email templates in two clicks.
Steps:
-
Access the Notification Center: Navigate to Messages > Notification Center.
-
Select the Template: Choose the email template you wish to modify.
-
Choose Insertion Point: Click within the template where you want the guest details to appear.
-
Open Merge Tags: Below the text insertion area, you'll see three icons: Merge Tags (tag icon), Delete (bin icon), and Duplicate (duplicate sheets icon). Click on the Merge Tags icon.
-
Select Clients: A pop-up window will appear. Select Clients from the options and click Select at the bottom to make the merge tags available.
-
Add the Details: Click again in the template where you want to insert the details. A small pop-up window will appear, allowing you to format the text and add tags via the Merge Tags option. You'll now see three options under Merge Tags: *Clients, 1. If, and 2. Single Tags.
-
Select Client Details: Hover your mouse over *Clients. This will reveal the available client details: Client Email, Client First Name, and Client Last Name.
-
Insert the Tag: Click on the specific detail you want to add (e.g., Client First Name). The corresponding tag will be inserted into your template.
-
Save the Template: Save your changes to the email template.
How it Works:
When the email is sent, the system will automatically replace the merge tags in the template with the actual guest details from the reservation. For example, the tag for "Client First Name" will be replaced with the guest's first name, "Client Last Name" with their last name, and so on.
Example:
Let's say you want to add the guest's first name to the greeting of your email. You would place your cursor after "Dear" in your template, follow the steps above, and select "Client First Name" from the *Clients options. The email will then be sent with the guest's actual first name in the greeting (e.g., "Dear John,").
