How does auto-allocation work?

Most of Noovy's clients choose auto-allocation as a set up feature for their Property Management System. All bookings created, be it manually or coming into the system via a channel, will be allocated to the next available room number.

Auto-allocation saves you to allocate every booking manually and will therefore save you time. Moreover; only allocated bookings will show on the Room Calendar which enables receptionists to work accurately and efficiently. 

Bookings may sometimes be un-allocated: Unallocating a booking can be manually done by the Noovy user, or automatically when a channel makes a booking amendmend after the guest's request. This can be a name or date change, pax change (amount of guests) or something simple like credit card updates.

As amendmends from channels like Online Travel Agents are done via the interface (the  connection between them and Noovy) it is often done without you realising. Allocations that are undone are therefore not easily spotted, however, it is very easy to trace them down by executing a few steps:

  • On the side bar click on Room Calendar
  • The date range calendar on the top left determines the period that the Room Calendar displays. If you wish to view if there are any unallocated bookings in a different period simply change the date range there.

     

  • When a booking is un-allocated Noovy will let you know by the exclamation mark in front of the Allocation tab - on the door symbol  
  • Click on the Allocation tab to view which booking(s) are un-alloacted
  • In the pop up screen that appears click on select in order to select the desired room number, then hit the small arrow 
  • Click on Allocate   
  • Refresh the page 
     
  • The exclamation mark has disappeared after all bookings were allocated and the allocated booking is now shown on the calendar on the room number of choice:

 

🔆 TIP:

If multiple bookings for a specific period are un-allocated simply click on Allocate all. All un-allocated bookings will be assigned to a room in one go.
