How to Send an Email Confirmation to a guest?

Whether a guest requests a new confirmation or wishes to include a travel companion, you can re-send the booking details in under a minute. Here is how to manage your email communications efficiently.

We recommend setting up Notification Rules to automate booking confirmations. This ensures a seamless experience for your guests while creating a more efficient workflow for your team.

Should you need to send a confirmation manually, you can do so at any time by following the steps described in this article.

 

Multiple delivery options are available when sending an email confirmation:

  1. From the Booking list

  2. From the Booking page

  3. From any reservation on the Room Calendar

 

 

1.  From the Booking list



  1. From the main menu  select Booking List:
  2. Use the filter to locate the specific booking you wish to send a confirmation for
  3. Click the 'More Actions' (three dots) icon located next to the reservation:
  4. Select 'Send E-mail' from the drop-down menu that appears:

  5. In the pop-up, enter the recipient's email address and, if required, include any CC or BCC addresses:
  6. Select the appropriate template from the list. (The options available will depend on your hotel’s specific configuration and which letters are enabled for 'Manual' use.)
  7. Depending on how the selected template is configured, you may choose from several available languages

  8. Before clicking 'Send', you can attach images or PDF files directly from your computer.
  9. Once you select 'Send', the confirmation will be delivered within a few minutes.





2.  From the Booking Page:

  • In the relevant booking, navigate to 'More' and select Send E-mail:

 

  • Once the pop-up appears,

    please follow steps 5–9 as detailed in the previous section to complete sending an email confirmation to your guest. 

 

3.   From any reservation on the Room Calendar:

  • Navigate to Rooms via the main menu and click once on the booking you wish to confirm. Then, click More:
  • The booking Pop-up appears, then click on Send E-mail :
  • Once the pop-up appears,

    please follow steps 5–9 as detailed in the first section of this article to complete sending an email confirmation to your guest. 

 

💡Tip: 

You can easily customise the email template by clicking the icon shown below:

A new pop-up will appear displaying the template and all available editing options. Once you have finalised your changes, click 'Send' to proceed.

Any changes made will only apply to the specific email you are currently sending; the original template will remain unaltered.
