How to authorize a credit card?

If you would like to authorise a credit card on file (entered by the guest upon making the booking and attached to the reservation) in order to either check if the card is valid, or to create a deposit, the system has the most simple way to do so:

  • Go to the reservation applicable and open the booking page of the reservation you would like to create an authorisation for (See article 'How to find a booking' if you doubt how to easily find the concerning booking).
  • Check if there s a credit card attached to the booking (credit card icon), this is generally the case when the booking is created via an online platform.

 

  • If no credit card is on file yet (in cases when the booking is manually created by yourself or one of your colleagues), you can attach the  credit card details after these are provided by the guest/booker.  Clickon the credit card symbol to add the details




⚠️Caution:

Make sure that when a credit card is provided you will guarantee yourself to have this in writing to avoid future disputes. It is vital to have the credit card holder's consent to charge the card when needed (Cancellation fee, no show charge). 



  • Click on Charge -  Payment Gateway (this is the interface which is connected to your Stripe account) in the Billing Section of the booking page:

 

  • In the appearing pop up screen click on the arrow under Payment Gateway, this will give you the options to Charge or Authorise the credit card. 
    Since we are showing you how to Authorise you need to choose Authorise.
    You can choose for what Proforma you would like to take the authorisation for, or choose to authorise a free amount that you desire.

    Click on the applicable option:
     

  • The card will be authorised, generally blocking the amount authorised for 7 days (this might vary, depending on the cardholder's bank of choice).

📝Note:

If the card is not authorised due to insufficient funds or fraud card (amongst other) the system will show you the authorisation has failed and the reason applicable via a pop up message.
