How to create and manage Segments

Manual reservations can be assigned to a specific segment. This makes it easy to track how each guest made their reservation. In this article you will learn how to use segments and how to create them.

📝What does a segment do?:

By categorizing manual bookings—such as walk-ins, phone reservations, email requests, or promotional offers etc.—hoteliers gain valuable insights into which sources are most used by guests. This tracking supports better decision-making for marketing efforts, helps optimize front desk operations, and ensures accurate reporting on reservation sources.

Assigning segments also improves transparency within the team, making it clear which booking methods contribute most to occupancy and revenue.

The Segment feature can be found in Menu>Settings>Segments:

 

To organise a new segment within a specific segment group, first create the desired segment group if it does not already exist in the system.

  • Click on +New Segment Group:


For example, if you want to organise reservations by how guests contacted the hotel—such as by email, phone, or as a walk-in—you can create a segment group called "Contact Source."

The next time when a segment is created, or if you would like to edit an existing segment, and it is associated the segment group Contact Source, you select this specific group

 

 

In the Segment List, each segment associated with a specific segment group will be clearly indicated.

 

 

👉 Result:

Once a segment group has been created, assign the correct segment group to manual bookings during step 4 of the manual booking process.

 

If all manual bookings are marked with the correct segment, the Booking Filter will allow you to have a good segment overview:

 

For example filter with the criteria Contact Source segment group:

 

Bookings marked with that segment group will appear in the booking list and can then export to a PDF or Excel file:

To Create a new segment follow the below steps: 

  • In the menu go to Settings > segments

 

  • Click on +New Segment


  • In the pop up that appears fill out the fields:
  1. Hotel - If there are multiple hotels within your system account, you can choose the venue applicable.
  2. Segment Name - Give the Segment a short clear name.
  3. Description - While not required, including a brief and clear description for each segment is recommended to ensure clarity and consistency.
  4. Segment Group - Add the segment to a group if desired.
  5. Is Default - Toggle on if you would like this segment to be automatically assigned to all manual bookings.
