The On Books Report explained

Learn how to navigate and understand the On-Books Report to gain valuable insights into your business performance.

The On-Books Report provides a summary of key performance indicators (KPIs) related to your bookings over a specific period.

  • Identify Trends: Use the report to identify trends in bookings, revenue, and occupancy over time.
  • Compare Performance: Compare data across different segments or periods to identify areas of strength and weakness.
  • Inform Decision Making: Use the insights from the report to make informed decisions about pricing, marketing, and operations.

 

The On Books report can be found from the main menu under Reports :


  • In the date range field, select the period you wish to analyze on books details for:

 

Report Overview, columns explained:

    • DATE - Displays the date of each entry along with relevant booking details
    • DOW - Day Of the Week bookings were made (e.g., Mon, Tue, Wed).
    • RMS - Rooms Sold indicates the total number of rooms booked for each day
    • ADR - Represents the Average Daily Rate, reflecting the average room revenue earned per occupied room during the selected period.
    • Revenue - Displays the total revenue earned from booking activities.
    • RevPAR -  Represents Revenue Per Available Room—a core metric in hotel performance. It’s calculated by dividing your total room revenue by the number of available rooms for the selected period.
    • OCC% - Represents Occupancy Percentage. This metric reflects the proportion of your available rooms that were occupied within the selected period.

Totals: At the bottom of each column, you will find overall totals for every metric:

If segment groups are configured in your PMS, their detailed data will be included in the On-Books report, providing a breakdown by each segment group.

In the example below the applicable hotel has set up 3 segment groups: 

 

  • Apply filters to focus on the specific data most relevant to your analysis:

    Segment Group:
    Use this option to filter data by predefined segment groups (if applicable).
    For example, you might have segments for different customer types, locations, or service categories.
    Period:
    Select a specific date range to analyze data for a particular period.
