How to Receive and Manage Non Guaranteed bookings

A guide to managing non guaranteed bookings effectively


 

Non-guaranteed reservations can help increase bookings because they do not require a credit card or immediate payment, which may encourage guests to book sooner. However, they must be managed promptly. If the guest does not arrive, cancel the reservation in time to make the room available for another booking and protect potential revenue.
Two ways to receive non-guaranteed bookings:
  1. Quote bookings - manually
  2. Non-guaranteed offers on online Channels

 

 

1. Quote Bookings

Quote Bookings are created manually by a user and cannot be booked online.

Set a confirmation deadline and release date and time when creating the booking which reduces the need for manual follow-up: If the guest has not confirmed by the deadline, the booking is cancelled automatically at the specified release time.

Quote Bookings are the easiest type of non-guaranteed booking to manage and require the least manual effort.

 

2. Offer Non-Guaranteed Online 

A Rate Plan 'Non-Guaranteed' must be created with the pre-defined release time such as one day before the arrival date.

This means the non-guaranteed rate plan is no longer booked on the arrival date.


Offering non-guaranteed bookings online requires manual follow-up. The booking will not automatically be cancelled, this has to be manually done by the receptionist after the releasetime has passed. 

💡Tip:

  • Checking the Non guaranteed bookings and take action to cancel the remaining ones:

    At the defined release time, review all non-guaranteed bookings and manually cancel those for guests who have not arrived. Add this task to your daily checklist.

 
Confirmation

 

To avoid misunderstandings, send the guest a clear Booking Confirmation.

Quote Bookings:

Create a Quote confirmation template that clearly states the terms and conditions, including the cancellation policy and the exact time when the booking will be cancelled. Create a 'confirmation send rule' with Rule Type set to Creation Date and Conditions - Booking State set to Quote. The confirmation will be sent to the booker shortly after the Quote Booking is created and will avoid any misunderstandings.

Create a Cancellation template with Rule Type set to Cancellation Date and Conditions - Booking state set to Quote.

 

Online Non-Guaranteed bookings

Create a Non-Guaranteed confirmation template that states the release time which is determined by the hotel manager at the time the rate plan was created. For example, the release time could be 6 PM, as in a standard and commonly used 6 PM booking. This confirmation information is key to avoid any misunderstandings.

Create a Non-Guaranteed Cancellation Template with Rule Type: Cancellation Date, Conditions: Rate Plan & select Rate Plan applicable (Non-Guaranteed)
