How to track Failed Payments from sent payment links 

Your daily checklist could include monitoring the status of payment requests sent through Payment Links, ensuring you promptly identify any requests that have failed or expired. Staying on top of this task enables you to address payment issues quickly, reduce processing delays, and ensure a smooth experience for both your team and your guests.

 

Why it is crucial to monitor if payment links failed

You can send Payment Links to your guests for a variety of reasons, such as securing advance deposits, settling outstanding balances, or allowing them to easily purchase extra services during their stay.
It is crucial to monitor whether payments are completed within the link's expiry window. This not only ensures you receive payments on time, but also makes the guest experience as smooth as possible while reducing follow-up work for your team.
By actively tracking payment statuses and expiry times, you help keep operations running efficiently and provide guests with a secure, simple way to handle their payments.

Payment Link Report
  • To check if payment links failed you will need to open the Payment link report from the main menu > Reports > Payment Link:

 

  • In the Date Range field you can define a specific period. If you leave it empty, the report will show all payment links, with the most recent one at the top:

    • Use the Filter to refine your search:
    • Once you have applied your filters, you can review the payment links and their current status.

    • Review any links with the statusses Expired and Failed and follow up where needed, for example by contacting the payer to request payment again:

 

 

Daily Task
By reviewing the Payment Link report daily, you can track unpaid reservations and ensure they do not remain unguaranteed. Unguaranteed bookings risk reducing revenue and, if not cancelled in time, may hold rooms that ultimately remain unsold.
